Australian corporation ditches Excel in favour of BI Software

Many companies have found that having business intelligence (BI) tools at their disposal has offered huge advantages in the modern, competitive and demanding marketplace; now, Australian property investment, hospitality and liquor company Kollaras Group has revealed that it has thrown out its Excel spreadsheets in favour of a new BI software system to optimise company performance. 

Founded in 1960 in Wollongong, New South Wales, Kollaras Group has grown to become one of Australia’s biggest privately-owned hospitably businesses. In early 2014 the company realised that it had outgrown its use of Excel spreadsheets and decided to install a new analytics and BI system instead. Jonathan Miller, the firm’s IT manager, explained that under the old system employees had to manually draw data from the Kollaras Group’s Microsoft Dynamics NAV enterprise resource planning system and put it into an Excel spreadsheet. “That made it very difficult to do reporting and was time consuming,” he explained, adding: “The requirement came to look at business intelligence (BI) systems in order to speed the reporting process up and take away the amount of hours of manual labour required to do the reporting.”

After making the decision to invest in new technology, Kollaras Group implemented the Yellowfin BI software and Actian analytics platform throughout the whole business. Mr Miller explained that since the integration the firm has “come a long way”. Reporting has been sped up considerably, as Actian pulls data hourly and this data is then fed into Yellowfin. This means that employees can access hourly updated financial reports, for example, which provide up-to-date information to help fast and accurate decision making; in addition, it means that the owners and executives of Kollaras Group all have access to data, allowing them to ascertain the performance levels of each individual division. “The executives are heavily focused on sales, so they have access to dashboards. They can see their sales by day, week or month prepared for this year versus last year,” Mr Miller explained. 

The benefits of using BI tools are clear, with companies able to abandon lengthy reporting processes to get quicker and clearer analytics with modern technology. Kollaras Group’s executives are also utilising iPads so that they can grab data on the move without having to be in the office. It is hoped that this will be rolled out to sales representatives in the future, meaning that staff will be able to work and conduct business on the move.
